Advocate Emails: What Gets Sent and When

A reference for every email in Automated Flows: what makes it send, an example subject line, and which emails can have reminders

In short: a reference for every email in Automated Flows: what makes it send, an example subject line, and whether you can add reminders. To set the emails up, see the Advocate Emails: Automated Flows Setup Guide.

⚙️ How the emails work

You'll find these emails under Advocates › Groups › Group profiles › Automated Flows, grouped in the same five sections as this article. Each one sends by itself when an advocate does something, so nobody has to press send.

  • Active or Inactive: only emails switched to Active send.
  • Personalised: tokens such as [user:display-name] and [program:name] fill in each advocate's name and your programme's name.
  • Reminders: some emails can have follow-ups for advocates who don't act. The tables below show which.

💡 About the subject lines: the examples below come from our demo programme. Yours may be different, and you can change any of them in the email editor.

📝 Application emails

Sent while an advocate is applying to your programme.

Application acceptedAn application is acceptedYou're in. This is your moment. Let's go. 🚀Yes
Application rejected - [Inaccessible profile]An application is rejected because the advocate's profile is privateQuick check 👀 we couldn't see your profileNo
Application rejected - [Unsuitable profile]An application is rejected because the profile isn't a fitApplication updateNo
Application resubmission requestAn application can't be processed and the advocate is asked to reapplyThere was a problem with your applicationNo

Application accepted is your welcome email: the first thing an advocate gets once they're in. Use it to point them to their first challenges, and add a reminder to nudge anyone who hasn't started.

Inaccessible profile explains that the advocate's social profile was set to private, so it couldn't be reviewed, and how to fix it: make the profile public, then reapply.

Unsuitable profile thanks the applicant, lets them know they haven't been accepted this time, and explains the non-negotiable reasons an application can be declined, such as location restrictions or content that doesn't fit brand safety guidelines.

Depending on how your programme is set up, you'll see either one Application rejected email or a separate rejection email for each reason, like the two above. You may also see more application emails.

👤 Account emails

Account password resetAn advocate asks to reset their passwordRequest to reset your passwordNo
Account inactiveA set number of days after the advocate last completed a challenge, or was accepted if they haven't completed oneFell off? It happens to the best of usYes

Account verified isn't on every programme, and where it is, it's switched off by default. Switch it on if you want advocates to get a confirmation once they've verified their email address.

Account email change and Account password reset reassure the advocate that if they didn't make the request, nothing changes.

Account inactive is a light-touch nudge for advocates who've gone quiet. Add a reminder with a firmer tone for anyone who still hasn't come back.

💡 Pro tip: send Account inactive at 7 days and a reminder at 14 days for a simple two-step re-engagement sequence.

🏆 Tier emails

Sent each time an advocate moves up a tier. Each one has a short message and a button back to the portal.

Tier 1 to Tier 10 unlocked overrideThat tier is unlocked, replacing the generic email for that tierSee belowYes
Welcome tier overrideNever sends: advocates are placed in the welcome tier when they're accepted, rather than unlocking it-Yes, once switched on

Example subject lines for the tier overrides:

Tier 1Small steps, big beginnings. Let's keep this going.
Tier 2You're getting the hang of this
Tier 3[user:tier-name]. This is where the fun starts.
Tier 4You're making this look easy
Tier 5[user:tier-name], and still climbing 🔥
Tier 6[user:tier-name] unlocked ✨
Tier 7You're in rare company
Tier 8[user:tier-name] unlocked. You're crushing it.
Tier 9 and Tier 10[user:tier-name], wow 👏

💡 Generic or override? One generic email with [user:tier-name] works for every tier. Switch on an override when a tier deserves its own message, for example to show off what that tier unlocks.

📰 Digest emails

The Digest row holds the legacy programme digest, which only sends when it's switched on. You can use the default template or your own HTML.
